Every change the Agent makes, whether it’s a swap, a leave request, or a new shift time, follows the same steps. The Agent works out what you want. PlanMyRounds then checks that you’re allowed to make the change and that it follows your organisation’s rules. The Agent can’t skip these checks.

From request to change

Ask in plain language

For example, “Take me off Friday night” or “Apply for annual leave from 3 to 7 March”.

The Agent answers any open questions

If something is unclear, the Agent may show a short card with a few questions, such as which leave type, department, or shift schedule you mean. Click your answers to continue.

Review the proposal

The Agent checks the change and shows you a proposal describing exactly what will happen. Nothing has changed yet.

Click Confirm

Select Confirm under the proposal. When the change is applied, the chat shows a message starting with Done.
Typing “yes” or “go ahead” in the chat does not confirm a change. Only the Confirm button does.

Several changes at once

If the Agent prepares more than one proposal, each has its own Confirm button, and a Confirm all button also appears. You can confirm them one by one, or all together.

Proposals expire after 15 minutes

A proposal is only valid for 15 minutes. After that, ask the Agent again and it will prepare a fresh one. If the schedule changed after the proposal was prepared (for example, an admin edited the roster or a colleague picked up the same shift), the change doesn’t go through. Nothing is left half-done. The Agent tells you what happened and offers to try again.
